Accounting Partnership

  • The FP&A team and Accounting collaborate to set deadlines as part of our monthly and quarterly close process. This enables a timely close and delivery of key information to EVPs/department heads around variance, forecast, and/or guidance. For the monthly FP&A close timeline, refer here
  • We collaborate in GitLab issues to align on the close timeline each quarter. An example of this is the Q1-FY23 Close Timeline found here.
  • Every two weeks on Thursday, Accounting & FP&A have a sync to connect on close dates. Further, this is a meeting to discuss open items, questions, and process improvements.
  • During close, Accounting leads daily close meetings where the status of close and any open items are provided. Summaries are shared at Slack channel #month-end-close-and-gl-team.
  • FBPs obtain a report with open invoices/POs from the Accounting team which is updated daily. The FBPs drive obtaining the required approvals and invoices from their respective business partners. Specific questions on entries are shared directly in the #fpa-ap-gl-collaboration Slack channel to increase transparency between FP&A and AP/GL teams.

Tax Partnership

We collaborate with tax to review actual tax expenses, forecast tax provision for planning and guidance, and to understand the tax implications of future scenarios such as changes in tax laws or tax structure. We collaborate in the Slack channel #tax-and-fpa

  • Q1-FY23 example of timeline:
  • 2022-05-06: Accounting closes books and consolidations occurs
  • 2022-05-10: FP&A locks forecast and shares with Tax a full GAAP PTI forecast, including the forecasts for the non-GAAP entity-level P&L, stock-based compensation expense, and other GLs including depreciation, amortization, capital additions, etc.
  • 2022-05-13: Tax shares preliminary quarterly tax provision forecast with FP&A
  • 2022-05-16: Tax provision meeting with CFO, where Tax discusses a range of topics, including but not limited to: projected vs actual income tax expense and ETR, cash tax paid, tax attributes, tax reserves, and the final provision forecast. Corporate FP&A will use the final provision forecast communicated in this meeting in preparing the guidance.
    • Notes:
      • Typically, FP&A will lock the forecast 48 hours after the books have closed. Tax will have at least 48 hours (2 days) to provide a preliminary provision forecast.
      • In the second month of each quarter, FP&A will share the latest locked forecast with Tax on Day 9 (or 48 hours after the books have closed, whichever is sooner) every month. Providing the latest forecast with Tax enables the team to update their tax models for the full year provision. The following is an example of such timeline for Month 2 of Q1-FY23 (using the 2+10 Forecast):
      • 2022-04-15: Accounting closes books and consolidations occurs
      • 2022-04-18: FP&A locks forecast and shares with Tax a full GAAP PTI forecast, including the forecasts for the non-GAAP entity-level P&L, stock-based compensation expense, and other GLs including depreciation, amortization, capital additions, etc.

Revenue Accounting Partnerships

  • We collaborate with the Revenue team to review actuals as part of our revenue variance process performed each month and quarter-end, understand the impact on our revenue forecast as it relates to changes in the revenue waterfall, changes in the business, new accounting standards, or other process improvements.
  • We meet each month to review actuals and collaborate in the Slack channel #revenue-and-fpa

SEC reporting & Internal Audit Partnership

  • We collaborate with SEC reporting & SOX compliance (SEC & SOX) teams to publish Quarterly and Annual Earning materials, and to ensure all materials are in compliance with SOX.
  • We receive stock-based compensation (SBC) and Weighted Average Share Outstanding (WASO) information from the SEC team for SBC and WASO quarterly forecasts.
  • We meet monthly to align expectations and discuss process issues and/or improvements.
  • We use #earnings_call_comms and #fpa_sec_reporting for collaboration & communications related to earnings materials.

Investor Relations Partnership

  • We collaborate with the IR team to publish Quarterly and Annual Earning materials.
  • We use #earnings_call_comms to collaborate & communicate.

Business Technology Partnership

  • We support BT team for Adaptive/NetSuite integration to ensure data accuracy between two systems and to meet compliance requirements. Integration is expected to be fully transitioned to the BT team by the end of Q2 FY23.
  • We meet quarterly to align expectations & discuss transition plans. We use #financesystems_help for communications, and track requests & progress through GitLab issues.

Data and Analytics Partnership

  • We work with the Data team to build out new dashboards and tables in Sisense as the SSOT for key metrics. Our collaboration ranges from creating different cuts of data significant to our business leaders to building out new connections between existing source data.
  • For any new project or new question as it relates to an existing project, we open an issue with Data team and slack the #data-gtm-projects channel to inform the team on a new issue.

Talent & Total Rewards Partnership

  • We collaborate with Total Rewards to align on budget and actuals for the Annual Compensation Review, promotions and benefits programs. We analyze scenarios in alignment with their team’s strategic programs and benefits roadmap. We collaborate in the Slack channel #fpa-total-rewards and have a weekly recurring meeting.
  • More details on how the Compensation Program Budget is determined can be found in the total rewards handbook.
  • As part of the annual planning process, FP&A helps to draft the next year’s executive/director bonus plan structure as it relates to key performance metrics, payouts structure, acceleration milestones, etc. The Chief Financial Officer and the Chief People Officer will approve the bonus structure prior to Compensation Committee review. The deliverable for the Compensation Committee is a slide deck illustrating payment structure, milestone, and attainment various scenarios.
  • We further collaborate with Total Rewards regarding in-year executive/director bonus attainment/payout. We provide Total Rewards with quarterly forecasts for estimated executive/director bonus in preparation for Compensation Committee meetings. The deliverable to the Total Rewards team is a summary slide(s) detailing attainment in each key metric.
  • We assist Total Rewards with modeling for equity, including sizing equity pool sizes for the Employee Stock Purchase Plan and Equity Compensation.
  • We collaborate regarding the above via the #fpa-totalrewards Slack channel.
